Types of Emails Sent by SV3 Visitor
1. Visitor Invitation Emails
Sent to the visitor after they are scheduled.
Includes:
QR code
Visit date & time
Host name
Check-in instructions
Building-specific details
Trigger: Host or Admin schedules a visitor and clicks Submit.
2. Visitor Arrival Notifications (to Hosts)
Sent to the host or organizer when the visitor checks in.
Includes:
Visitor name
Time of arrival
Optional building instructions
Trigger: Guard or kiosk checks the visitor IN.
3. Watchlist Notifications (Building Security)
Sent when a visitor matches someone on a building’s watchlist.
Includes:
Watchlist name
Visitor information
Guard instructions
Trigger: Check-in attempt at guard desk or kiosk.
4. Kiosk Check-In Confirmations (optional)
Sent when a visitor self-checks in at a kiosk.
Sent to: Host or building contact.
Includes:
Visitor name
Check-in confirmation
5. Password Reset Emails
Sent when a user clicks “Forgot Password” on the login screen.
How SV3 Visitor Sends Emails
Emails are sent instantly from the system as soon as the triggering event happens.
System uses the email address entered by the host or stored in the user’s profile.
SMS messages are sent only if mobile numbers are provided.
Information Required for Emails to Send
Correct visitor email address
Correct host/organizer email address
Active user profile (host must not be disabled)
Valid tenant configuration
Invitation must be fully submitted
Missing or incorrect data will result in email delivery failure.
