Learn what the Watchlist does, who can use it, and what happens when a visitor's name matches a name on it.
What the Watchlist is
The Watchlist is your organization's own list of people who need extra checks before they can check in. Each person on the list has a Watchlist record with their first name, last name, a photo (if available), and optionally an email address, phone number, and notes about why they're on the list.
When a visitor is added in SV3 Enterprise, the system screens their name against the Watchlist. Screening applies to every check-in, including visits checked in from the Dashboard.
What happens when a name matches
If a visitor's name matches a Watchlist record, the visitor's status changes to Pending Approval. The visitor can't check in until a Security Officer, Local Admin, or Global Admin reviews them and chooses what happens next. A Receptionist can't approve or deny a visitor.
From Pending Approval, the visitor's status can change to Scheduled, Checked In, Denied, or Cancelled. A visitor who is Denied receives a notification that their visit was cancelled and that they should contact their host for more information.
Who you might add
Your organization decides who belongs on the Watchlist. Examples include:
- A former employee who left on bad terms
- A previous visitor who broke your site rules
- A locally known person of interest
- A person wanted by law enforcement
Who can use the Watchlist
- Security Officer, Local Admin, and Global Admin can view and manage the Watchlist, and approve or deny visitors who are Pending Approval.
- Receptionist can view the Watchlist but can't change it.
The Watchlist and Background Check
The Watchlist holds names your organization adds. SV3 Enterprise can also screen visitors against external lists, such as the FBI's Most Wanted list, through the Background Check integration. To learn how that works, see how Background Check screens visitors.
