Some visitors, such as contract workers, come to your Location regularly over a period of time. A Recurring Visit lets you schedule the whole series at once instead of one visit at a time.
How a Recurring Visit works
You create a Recurring Visit from the Recurring Visit icon in the Schedule a Visitor window.
It works for a single visitor or for a Group Visit of up to ten visitors. For each series, you set a start date, an end date, a start time, an end time, and the days of the week the visits take place. You can schedule visits up to 13 months in advance.
When a visitor in a series checks in:
- Information they entered at their first check-in is filled in for them at later check-ins.
- Guest Wi-Fi credentials are new for each visit.
- If a Visitor Photo is required, the visitor takes a new photo at each visit.
- They can use the same QR code for every visit in the series.
You can change a series after you schedule it or end it early. Changes don't affect visits in the series that have already taken place. For a group series, you edit each visitor's details one at a time, not all at once.
To see the upcoming visits in a series, run a Visit Report and export it as a CSV file.
How status changes affect a series
Changing the status of one visit can affect the rest of the series. [CONFIRM: status-change effects on a Recurring Visit series are still current]
When the visit is Pending Approval:
- Changing it to Scheduled schedules all visits in the series.
- Changing it to Denied shows the first visit in the series as Denied and deletes the remaining visits.
- Changing it to Cancelled cancels only that visit. The remaining visits stay Pending Approval.
When the visit is Scheduled:
- Changing it to Cancelled cancels only that visit. The remaining visits stay Scheduled.
