Review a visitor who was flagged during screening, then decide whether they can check in.
Before you start
- You need the Security Officer, Local Admin, or Global Admin role. A Receptionist can't approve or deny a visitor.
- A visitor is flagged as Pending Approval when their name matches a name on your Watchlist or on an external list screened by Background Check. To learn more, see how the Watchlist works.
- The Background Check button uses the Background Check integration. It appears on the Visitor Details page, which opens when you select the visitor's name on the Dashboard. The button appears whether or not the integration is enabled.
Steps
- On the Dashboard, click the name of the visitor with the status Pending Approval. The Visitor Details page opens.
- Click Background Check. The Background Check Results window opens.
- Review the results to confirm the visitor's identity.
- Click Close Window.
- Click the Dashboard icon.
- Click the arrow next to the visitor's Pending Approval status.
- Select one of the actions below.
Actions you can choose
- Schedule: The status changes to Scheduled, and the visitor can check in later.
- Check In: The status changes to Checked In, and the visitor is checked in now.
- Deny: The status changes to Denied, and the visitor can't check in. The visitor receives a notification that their visit was cancelled and that they should contact their host.
- Cancel: The status changes to Cancelled. If the visitor has an email address on record, they receive a cancellation notice. If you schedule the visitor again, they're flagged as Pending Approval again.

Result
The visitor's status on the Dashboard changes to match the action you chose.
