Purpose
This article provides step-by-step instructions for checking in scheduled visitors using the desktop Guard interface.
Steps to Check-In a Scheduled Visitor
1. Go to the Schedule Tab
Guards must be in the Schedule tab to begin.
2. Scan Visitor’s QR Code
Use the barcode/QR scanner
Visitor’s record will instantly appear
Confirm the match (name, company, host)
If QR code does not scan:
Switch to ID scan or manual search.
3. Scan/Swipe the Visitor’s ID (Optional but recommended)
System attempts to auto-match records
If the visitor is scheduled, their profile appears automatically.
4. Take the Visitor’s Photo
Click the camera icon to capture a new photo if required.
5. Click “IN”
This officially checks the visitor into the building.
6. Print Badge
Badge prints automatically
If not, click the dropdown → Badge Only
7. Host Receives Arrival Notification
All designated hosts/organizers receive an email and/or SMS alert.
Best Practices
Always attempt QR code scan first — fastest method
If visitor appears but photo fails, refresh camera and try again
If badge doesn’t print, use Badge Only before troubleshooting
Double-check visitor’s name spelling when manually searching
