Step-by-step guide for processing visitors who were not invited or do not appear in the scheduled list.
Steps to Check In a Walk-In Visitor
1. Confirm They Are a Walk-In
Check the Schedule tab:
If visitor does not appear after scanning, treat as walk-in.
2. Scan the Visitor’s ID
Scanning is the fastest way to populate:
Name
DOB
Photo
Company (sometimes)
If no ID:
Click Directory → manually enter information.
3. Search for the Host
Use the Directory tab:
Type host name
Call host for approval
This is required for all walk-ins.
4. Host Approves or Denies (optional)
If host approves → proceed.
If host denies → follow building protocol.
5. Capture Photo
Click the camera icon if photo is required.
6. Click “IN”
Officially checks in the visitor.
7. Print Badge
Badge prints automatically or via Badge Only.
Best Practices
Always call the host — do not bypass this step
If host is unreachable, follow building’s denied-entry SOP
For repeat contractors, recommend they be added as recurring visitors
Walk-ins without ID: document the exception and notify security supervisor
