Purpose
This article explains how visitors check themselves in using the kiosk (tablet/iPad), reducing lobby workload for guards.
Visitor Self Check-In Workflow
1. Visitor Starts at the Welcome Screen
Branded building welcome message appears.
2. Scan QR Code
Visitor holds phone or printed invite up to the screen
The kiosk finds their scheduled record
Moves to photo capture (if required)
If QR scan fails β visitor can manually enter information.
3. Manual Entry (If Needed)
Visitor can type:
First/Last Name
Host
Company
System attempts to find the closest match.
4. Take Photo
Visitor taps Take Photo and the kiosk captures their image.
5. Check-In Confirmation
Visitor sees a confirmation screen.
6. Host Notification
Host is notified of arrival automatically.
7. Badge Pickup
Visitor proceeds to the reception desk for badge printing (unless kiosk-connected printers are enabled).

Guards see kiosk arrivals in real-time
Can click βINβ if manual approval is required
Best Practices
Place kiosk signage at eye level with QR instructions
Keep tablet power connected at all times
Ensure WiFi is stable
Restart kiosk daily for best performance
Use kiosk during large events to reduce front desk bottlenecks
